1. Information We Collect

Account Information

When you create an account, we collect:

Email address - Used for account access, notifications, and support
Password - Stored in encrypted (hashed) form; we cannot see your actual password
MFA setup data - Two-factor authentication secrets and backup codes (encrypted)

Farm Data (User-Provided)

To provide cost tracking and analysis, you provide:

Field information (names, acres)
Crop assignments
Cost data (seeds, fertilizer, chemicals, insurance, rent, etc.)
Yield estimates and market prices

You control this data. You decide what to enter, and you can export or delete it at any time.

Usage Data

We automatically collect limited technical data:

Login timestamps
Features used (for improving the Service)
Browser type and device information
IP address (for security purposes)

Payment Information

Payment processing is handled by Stripe. We do not store your credit card numbers, bank account details, or other sensitive payment information on our servers. Stripe maintains its own privacy policy at stripe.com/privacy.

2. How We Use Your Information

We use your information to:

Provide the Service - Store and process your data, generate reports and calculations
Maintain your account - Authenticate logins, manage subscriptions
Send transactional emails - Password resets, subscription confirmations, important service updates
Improve the Service - Analyze usage patterns to fix bugs and add features
Respond to support requests - Help you when you contact us
Ensure security - Detect and prevent fraud or unauthorized access

We do not: Send marketing emails without your consent, sell your data, or use your farm data for purposes unrelated to providing the Service.

3. Data Sharing

We share your data only with service providers necessary to operate FarmCop:

Stripe (Payment Processing)

Processes subscription payments. Receives email and payment details.

Resend (Email Delivery)

Sends transactional emails. Receives email addresses.

Cloud Hosting Provider

Hosts the application and database. Data is encrypted at rest.

We will never:

Sell your personal information or farm data
Share your data with advertisers
Provide your data to data brokers
Use your farm data for purposes other than providing the Service

We may disclose information if required by law, subpoena, or court order, or to protect our rights and safety.

4. Data Storage and Security

We implement security measures to protect your data:

Encryption in transit - All data transmitted via HTTPS/TLS
Encryption at rest - Database encryption for stored data
Password hashing - Passwords are one-way hashed using bcrypt
Two-factor authentication - Required MFA for account access
Regular backups - Automated, encrypted backups for disaster recovery
Access controls - Limited personnel access on a need-to-know basis

While we use industry-standard security practices, no system is 100% secure. You are responsible for maintaining the security of your account credentials.

5. Data Retention

Active Accounts

Your data is retained for as long as your account is active and your subscription is current.

Account Closure

When you close your account or request deletion:

Your User Data is deleted within 30 days
Backups containing your data are purged within 90 days
Basic account records may be retained for legal/tax purposes

Inactive Accounts

Accounts with canceled subscriptions and no activity for 12+ months may be deleted after notice.

6. Your Rights

You have the right to:

Access your data - View all data associated with your account
Correct your data - Update or fix inaccurate information
Export your data - Download your farm data in PDF or CSV format
Delete your account - Request permanent deletion of your account and data
Withdraw consent - Stop using the Service at any time

8. Children's Privacy

FarmCop is designed for adult users managing farm operations. We do not knowingly collect personal information from children under 18. If we learn that we have collected information from a child under 18, we will delete it promptly. If you believe a child has provided us with personal information, please contact us.

9. International Users

FarmCop is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States. By using the Service, you consent to this transfer and processing. U.S. data protection laws may differ from those in your country.

10. Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we will:

Update the "Last Updated" date at the top of this page
Notify you by email at least 30 days before the changes take effect
Display a notice within the Service

Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
